Topic | Initiate/complete in legacy system by: | Initiate/complete in GA@WORK Marketplace by: | Special notes: |
| Contract types | Contract administrators must complete the set ID, contract ID, and style ID, then select a process option to create a contract that is limited to goods, services, and general contract styles. | A larger selection of contract types to choose from as well as enhanced reporting options. Public works and revenue contracts and data share and data use agreements will be included as new contract types. | To override the contract type, it must be checked out and in draft status. |
| Enhanced search capabilities | Contract administrators can search by multiple fields, but information must be known to use those options. | Ability to search contracts using custom fields as well as by contract administrator, second party (supplier), begin/end end dates, and more. | End users can use the “add filter” option to minimize their search results and add quick filters to their main contract search page. |
| Version History | Contract administrators have to choose to maintain the document and review the attachments on the contract to determine the status. | Users have the option to view the log of all actions performed on the record. | Contract administrators can view when an outdated version of a contract has been replaced by a newer version with the status "executed in effect." |
| E-signature capabilities | The e-signature process sits outside of Team Georgia Marketplace. | If the contract is set to use e-signatures and the manual signature placement option is selected, when it reaches the appropriate e-signature workflow step it will stop and display the pending signature status. | Contract administrators will need to launch signature contract action to open the e-signature provider application. |
Field | Definition |
| Original Contract Amount | For converted contracts, it reflects the total maximum amount from TeamWorks. For contracts entered in GA@WORK Marketplace, it corresponds to the total value at execution. The value does not change if the contract is amended. |
| Total Contract Amount | This is displayed as the total contract value in GA@WORK Marketplace. It will increase or decrease with amendments/renewals. |
| Purchase Order Amount | Reflects the total amount of all POs issued against a contract, including those converted from other systems. It does not decrease when a PO is closed and doesn’t include any POs closed before conversion. |
| Invoiced PO Amount | The total value of supplier invoices (new activity) against a contract in GA@WORK. Note: The amount excludes historical TeamWorks invoice data. |
| Non-PO Invoice Amount | GA@WORK does not permit direct invoice entry against contracts; all supplier invoices must be linked to a PO created under the contract. |
| PO Balance Remaining | This field is calculated as PO amount minus the total contract amount. If a new PO exceeds this balance, GA@WORK displays a warning and routes the PO to your contract specialist for review. |
| Invoice Balance Remaining | Calculated as total contract amount minus invoiced PO amount, providing visibility into available funds. |
